The five ways in
Every gym check-in system answers the same question — is this person allowed in right now? — with different hardware and different prices. There are five real options:
- QR code check-in — the member shows a code on their phone, staff or a tablet scans it. Zero hardware beyond a print-out.
- Self-scan QR or barcode kiosk — the member scans their own code at a kiosk or mounted tablet. One device at the door.
- RFID cards and fobs — a card opens a reader. Cheap readers, real card-management overhead.
- Biometric readers — fingerprint or face. Cannot be lent, forgotten or lost.
- Turnstiles — a physical gate on top of a reader. The only option that physically stops someone.
The right choice is almost entirely decided by one thing: whether anyone is standing at the door. A staffed desk turns check-in into a greeting; an unmanned gym needs the door to enforce itself.

QR codes: the free option most gyms overlook
A QR check-in needs two phones: the member’s and the staff device that scans it. That is the entire bill of materials. In Gymciety the member’s code refreshes daily — screenshots go stale within 24 hours — and the check-in writes straight to attendance, so the same scan that lets someone in also feeds adherence and retention. Joining works the same way: a QR in your Instagram bio or on the desk opens sign-up, picks a package and creates the member.
The honest limits: it needs a human at the desk to mean anything, and it assumes members carry a charged phone. For a staffed gym that opens 6am–11pm, those limits cost nothing. For a 24/7 unmanned floor, they disqualify it — which is why we say so on our own front-desk page.
RFID cards: cheap readers, expensive cards
RFID is the incumbent: a card or fob opens a reader, and with a door strike it works unmanned. The hardware is cheap, but the operational cost hides in the cards — issuing, replacing, deactivating and chasing unreturned ones. And a card is the easiest credential to share: half of “member” traffic at some unmanned gyms is a borrowed card.
Fingerprint and face: the unmanned default
Biometric readers solve sharing completely — a fingerprint cannot be lent. The trade-offs are real: devices need maintenance, enrolment takes a staff visit per member, and hygiene-sensitive members will prefer face over fingerprint.

A turnstile is the only option that physically stops a person. Pair a tripod or flap gate with a biometric reader and a lapsed member simply does not get in — no confrontation, no desk conversation. That is exactly what unmanned and 24/7 gyms need, and it is priced like it: hardware, installation and civil work per lane, plus the software subscription. How to choose
- Is the door staffed? If yes, QR check-in covers entry, attendance and join for the cost of a print-out. Spend the hardware budget on the floor instead.
- Is the gym ever unmanned? Then the door must enforce itself: biometric reader minimum, turnstile if tailgating is a real problem. GymViz and GymMaster are built for this.
- How bad is card-sharing? If members hand credentials to friends, cards are the worst option and biometrics the only real fix. Daily-refresh QR codes sit in between.
- What happens to the scan? A check-in should write to attendance, adherence and retention — not just open a door. Ask every vendor where the entry event lands.

What is the cheapest gym check-in system?

Is biometric access worth it for a gym?
