A checklist for choosing gym software in the UAE

Twelve questions that settle most gym-software decisions in the Gulf — billing, VAT, door access, coaching tools, support hours and who actually owns your member data.

Gym software demos are designed to be impressive. Every platform shows a clean dashboard, a slick app and a calendar that fills itself. What they do not show is the invoice in month three, the support queue at 9pm on a Thursday, or what happens to your member data when you leave. This checklist is the version we would use if we were buying rather than building — twelve questions that cut through most demos.

The money questions

  1. Is the price published? A vendor who will not show a price will show you a contract. Published pricing is not just cheaper to evaluate — it is a promise about how the company sells.
  2. What currency does it bill in, and what does VAT look like? UAE members should be billed in AED, and the invoice needs your TRN and the 5% shown correctly. Ask to see a real invoice, not a slide.
  3. What is on top? Processing fees, onboarding fees, per-member charges, add-on modules. PushPress charges extra for its CRM, Zen Planner for marketing, PerfectGym a mandatory onboarding fee. "What does month twelve cost a 300-member gym?" is the question that surfaces all of it.

The door question

Is your front door staffed? If yes, QR check-in at the desk is enough and you can skip the hardware vendors entirely. If the gym runs unmanned or 24/7 hours, the door must enforce itself — biometric readers and turnstiles are real requirements, and platforms like GymViz and GymMaster are built for exactly that. Buying turnstile integration for a staffed desk is five figures spent on a problem you do not have.

The coaching question

Do your coaches actually coach members — programmes, nutrition, check-ins — or just staff the floor? If they coach, the platform needs a real coaching layer or you will pay for a second system and run two apps per member. The channel question

How do your members actually get reached? In the Gulf the answer is WhatsApp or push notifications — not email. Ask the vendor which channel its automations send on. WhatsApp automation exists (GymViz builds on it); in-app messaging with push is the alternative that costs nothing per message. Decide which you want before the demo, because it is the feature hardest to bolt on later.

The exit questions

  1. What happens to my member data when I leave? Get the export question answered in writing: members, payment history, attendance, programmes. The data is yours — the question is whether it leaves in a usable form.
  2. What does migration in look like? A vendor who has done this before can tell you how long it takes and what does not transfer. "We will figure it out" means your front desk does the figuring.
  3. Who owns the member relationship? If member communication runs through a staff member's WhatsApp or the vendor's consumer marketplace, part of your retention is rented, not owned.

The support question

Where is support, in what hours, and in which language? A platform with support on Australian hours is a poor fit when a payment run fails on a Friday in Dubai. Ask for a phone number, ask whether support covers Arabic, and ask what "dedicated onboarding" actually means in hours rather than adjectives.

The one-line version: published price, your currency, the right door answer, real coaching tools, a channel members read, an exit you have tested, and support on your hours. Score every vendor on those seven and the shortlist writes itself.
